CORRESPONDENCE

In the April 2026 General meeting, the Board passed the following motion: "THAT until final approval of the Correspondence Policy and Correspondence Guidelines and Flow Chart are adopted, the Board use the proposed Flow Chart on an interim basis to guide the handling of correspondence."  THE FLOW CHART IS BELOW.

We welcome correspondence.

Some notes on what types of correspondence may/may not be found on this page. 

  • Routine Notifications or Updates: Correspondence providing status updates on previously approved projects or mandated administrative filings will be shown here if applicable.

  • General Expressions of Support or Opposition: Correspondence regarding a specific public issue or active project that does not contain a specific "Request for Action" will be here as well.

  • Request for "Routinely Available records": Not shown here if already available on website.

  • Requests for information: Correspondence is answered by the Corporate Officer or forwarded to the appropriate committee or board as a whole for action; correspondence may not necessarily be published if the information is available on this website.

  • Complaint or request for action: Correspondence will be forwarded to appropriate committee/board; full response is published, or summaries may be published (indicating that the details are subject to privacy legislation, etc.).

  • Requests for FOI matters:  May be shown here in full and if necessary, they may be redacted (e.g. in-camera, personnel matters, requests including personal information relating to specific individuals or properties within the request content, etc.).

  • Request for action if no action is taken by the board: The request or a summary of the request will be published with the reason action is not taken (e.g. a request might be published or summarized with the response, “No action taken at this time as this matter is under the jurisdiction of provincial govt department", etc..
